Committee Descriptions
Do you want to help us plan Houston Fest? Would one of these committees suit your skillset?

Houston Caldwell Foundation Board of Directors:  Develop & Implement Strategies to fulfill the vision of Houston Caldwell to transform lives through the power of music & community service.  Board members to include: Tess, Hayden, & Kenneth Caldwell; Executive Director; Chief of Galax Volunteer Fire Department; Legal Advisor; Finance Director; and 3 members at large.

Finance Director:  Responsible for leading in development of overall budget, maintaining complete financial records, generating financial reports, and handling all income & disbursements.

Legal Advisor:  Serve as the official resource for all legal questions & issues.

HoustonFest Steering Committee:  Core group having overall control and direction responsibility for HoustonFest.  Committee members to include Houston Caldwell Foundation Board of Directors, HoustonFest Committee Chairs, and Volunteer Coordinator.

Volunteer Coordinator:  Recruit volunteers, assign tasks, & schedule volunteers in conjunction with individual committee chairs.

Marketing/Publicity Committee:  Develop & implement a marketing plan to include, but not limited to, writing & distributing press releases to mass media, developing & distributing flyers, posters, banners, etc.

Sponsorship, Program Ad, & Merchandise Sales Committee:  Develop a sales plan and sell Sponsorships, HoustonFest Program Ads, & HoustonFest merchandise.

Ticket Sales Committee:  Conduct all pre-sales & on-site ticket sales, and account for all receipts.

Graphics Design & Printing Committee: 

Develop/secure all HoustonFest related graphic designs.

Identify possible HoustonFest related items to be printed, and work with the responsible committee chairs to make recommendations to the Steering Committee.  (i.e.  T-shirts, hats, tickets, wrist bands, banners, flyers, posters, etc.)

Get price quotes and award contracts upon approval by the Steering Committee

Program Design & Printing Subcommittee:  Secure all photo-ready content from responsible committee chairs (i.e. Sales, Production, Photography, etc.).  Assemble program, obtain printer price quotes, secure Steering Committee approval, award print contract, and manage distribution of HoustonFest programs.

Web Site Design & Social Networking Subcommittee:  Design & maintain HoustonFest web site and related social network sites (i.e. FaceBook, MySpace, Twitter, YouTube, etc.)

Concession, Vendor, Appalachian Arts & Crafts Committee:  Determine what food concessionaires, vendors, & artisans are appropriate for the anticipated crowd and the theme of the festival.  Draft appropriate documents (i.e. application forms, contracts).  Determine the fee structure.  Select and secure concessionaires, vendors, & artisans. 

Production Committee:  Plan, secure, & manage all stage entertainment.  Plan, secure, & manage all sound related equipment & services.

Site Logistics Committee:  Design festival physical layout (i.e. parking, hospitality area, vendor area, tents, trash container locations, rest room locations, fencing locations, etc.).  Administer all grounds related tasks (i.e. event set-up, trash collection, rest room maintenance, parking, etc.)

Site Security Committee:  Plan & implement all site security & public safety.

Youth Activities Committee:  Plan & conduct youth activities (i.e. picking porch/youth stage, instrument petting zoo, jam sessions, workshops, instrument kits, etc.)

Hospitality Committee:  Conduct all facets of hospitality for the entertainers and special guests (i.e. complimentary food service, decorations, hospitality environment, etc.)

Fund Raising Committee:  Plan & conduct events and activities to raise money to accomplish goals of HoustonFest by assisting in cash flow.

Photography & Video Committee:  Document ongoing HoustonFest activities and special events through photo and video.  Assist with any related projects requiring photo/video services.

Grant Research & Writing:  Investigate potential grant sources, write grant applications, and submit applications.

Remember Houston
Houston’s Friend
This is an opportunity to remember Houston and his inspiring ability to reach out to people of all ages and walks of life. He was indeed a good friend to so many. For those participating with a $25 contribution, Houston’s friends will be recognized on a special Houston’s Friends page in the HoustonFest program and on the HoustonFest website.

Houston’s Gift
With a $100 contribution, groups such as family, bands, classmates, etc. may jointly remember Houston with a brief message in the HoustonFest Program and on the HoustonFest website. A commemorative gift will be given for each $100 contribution.
